Job Description
Part-Time Office Manager – Law Firm (15-20 hours per week; 3 day per week minimum)
Main Duties:
· Coordinate hiring process; conduct new hire on boarding; accurately complete paperwork
· Maintain employee records
· Assist with off boarding employees
· Prepare policies and procedures, training materials, and company handbook
· Scheduling and gathering information regarding employee reviews and bonuses
· First line of contact on employee personnel questions/concerns;
· Manage PTO calendars to ensure adequate coverage at all levels
· Manage vendor contracts and make recommendations regarding renegotiating contracts for legal research, billing, IT, various insurance providers (workers compensation, health, malpractice, building), cleaning and maintenance
· Manage registrations licensing and reporting requirements for attorneys
· Overseeing office buildings including: leases (payments, renewals), maintenance, repairs and upgrades
· Make recommendations regarding equipment purchases and upgrades
· Supervision of Bookkeeper projects to ensure timeliness and accuracy
· Interfacing with Bookkeeper to provide partners with financial information (monthly financial statements and/or cash flow forecasts and as needed P and L and balance sheets)
· Make recommendations regarding budgeting and efficiency improvements
· Tracking and aiding collection on past due client balances
· Reconciliation of credit card and employee expenses
Minimum Qualifications & Skills
- 2-5+ years of experience as Office Manager or related experience (i.e., project manager, human resources)
- Proficiency with Word, Excel and Outlook, and Adobe
- Experience in supervising others
- Must demonstrate strong organizational and project management abilities
- Attention to detail, as well as solid problem-resolution, decision-making, and tenacious with follow ups
- Excellent verbal and written communication skills
- Ability to exercise judgment in managing confidential or sensitive information
- Ability to handle diverse personalities.
- Consistently handle situations with tact, maturity and patience, and able to work well under pressure
Preferred Qualifications
- Degree in Business, Management, or related field
- HR experience
- Law firm experience
