The Sports & Entertainment Booking Contract Administrator position requires a detail-oriented individual to maintain and administer all aspects of Ungerboeck for the Sports & Entertainment Booking Department. This involves expertise in blocking space and maintaining the event diary in entirety within Ungerboeck, the software system for the organization. The position requires interface, support and audit of the event accounts established by the Sr. Director Business Development, Director of Booking, Booking Manger, and Coordinator. In addition, the incumbent is also responsible for posting all contractual deliverables and financial date working with the financial management division and within the financial software system on any account receivables. This position will be responsible for representing and communicating the Sports & Entertainment Divisions needs with Ungerboeck and making appropriate updates, reports, and changes with the divisions departments accordingly. The incumbent reports to the Director of Booking.

Skills

Ability to calculate figures and amounts such as discounts, interest, proportions, and percentages.

Ability to express ideas and convey information effectively, both orally and in writing.

Ability to understand and follow oral and written instructions.

Ability to effectively utilize the Microsoft Office Suite, including Word, Excel, and Ungerboeck.

Ability to work a flexible schedule, including days, evenings, nights, weekends,and holidays.

Responsibilities

Enters account information into Ungerboeck and Oracle, the Divisions software systems.

Reviews all booking entries with the Booking Department Managers to ensure that all information is accurate and complete.

Produces a variety of reports from Ungerboeck and Oracle (i.e., revenue, tentative/definite bookings, attendance, and available date reports).

Reviews and performs quarterly audits of all accounts to ensure appropriate account information is current (i.e., opportunities, contact information, and event financials).

Prepares and updates Events DC Booking Department contracts for signature and ensures that the documentation is complete.

Demonstrates and applies analytical skills and knowledge of event contract policies and procedures to ensure the successful completion of the contract administration process from issuance through settlement.

Assures that proper signoffs are obtained on contracts as required by policy.

Proficiently administers a variety of standard and semi-complex transactions.

Provides professional and efficient service and communication to Sports & Entertainment clients.Interacts harmoniously with booking, finance, and Events DC staff members.

Relays decisions to clients and internal staff and works on win-win outcomes.

Ensures the timely collection of deposits and rental fees from Sports & Entertainment clientele. Follows up on a regular and/or periodic basis with customers to ensure timely resolution of problems and disputes.

Audit event contract accounts and provide monthly status reports.

Represent the Sports & Entertainment Division at Ungerboeck meetings accordingly. Works with Ungerboeck to make updates or design reports with department leads, as needed. May support other divisions if needed.

Takes direction from supervisor and performs other related duties and tasks as assigned.

Qualifications

Minimum of four (4) years of office-related experience, preferably using Ungerboeck, contracting and/or paralegal activities; OR

Bachelor of Arts or Science degree

Any equivalent combination of experience, training, and/or education.
