Duties and Responsibilities
Under general supervision, provides moderately complex administrative support to staff within the Office of Equity Compliance. Work requires thorough knowledge of the organization and programs where assigned and involves moderate participation in the work of the supervisor. The professional will have responsibility for office operations and management, and will function independently within established procedures. The professional will also advise on process improvement where appropriate. This office is responsible for law and policy related to Title IX of the Education Amendments of 1972, Title VI and Title VII of the Civil Rights Act of 1964, as amended; the Americans with Disabilities Act of 1990 and Americans with Disabilities Amendments Act; Section 504 of the Rehabilitation Act of 1973; as amended; Violence Against Women Act (VAWA); and other stated and federal equal opportunity/affirmative action laws and related university policies. Work requires the professional to be familiar with the law and policy associated with the work of this office, specifically disability and harassment laws.
This position requires a high level of discretion. Confidentiality is required, and sensitivity to the community members who may visit this office is expected.
 

  • Edits, formats, and revises a variety of documents and materials created by others. Proofreads for grammatical, typographical and basic content errors.
  • Composes responses to routine inquiries in accordance to general instructions.
  • Develops, implements, and maintains paper and electronic filing systems which meet department needs and satisfy requirements for retention and information security. Enters, updates, and retrieves information as needed.
  • Screens telephone calls and visitors, independently handles routine matters, and forwards remainder to appropriate parties.
  • Schedules and coordinates meetings and appointments. Prepares background and support materials following general instructions. May attend meetings and provide minutes.
  • Makes travel arrangements following general instructions and campus procedures. Performs necessary follow-up for vouchers, expense reports, and reimbursements.
  • Gathers and consolidates background information for reports, utilizing available resources such as departmental files, policy and procedure documents, Internet research, and communication with internal and external contacts.
  • Orders supplies and equipment. Oversees equipment maintenance.
  • Assists with department budget, updating department accounts, and creating routine reports.
  • Supports team meetings, trainings and programs through arranging rooms, catering, managing invitation and RSVP responses, and assisting with set up and break down of location.
Minimum Qualifications

 

Education
High School Diploma required. Associates degree preferred.

Experience
At least 2 years experience providing administrative support for a multi-person
office. Work in an internship, organizational or volunteer position in which substantive experience in the work performed by this office (i.e. discrimination, harassment, etc.) is preferred.

Knowledge Skills and Abilities
Must have excellent oral, written, and communication skills as well as an acquired knowledge of computer skills such as Microsoft Office Suite. Demonstrates ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions. General knowledge of and skill in the practical application of generally accepted office practices and procedures. Demonstrates ability to handle complex situations, to interact effectively with internal and external parties in a courteous and efficient manner. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, internet, email and calendaring software. Demonstrates ability to understand and follow oral and written instructions. Familiarity with policies and procedures that govern the institution.
