Job Description

Bookkeeper Main Duties:

· Accounts Payable (QuickBooks) – enter and/or track invoices and present for approval, process payments

· Weekly deposits and reconciliation of QuickBooks

· Weekly checking account reconciliation

· Process bi-monthly payroll (ADP), retirement contributions, and ensure tax payments are accurate and timely

· Processing partner draws (monthly) and distributions (quarterly)

· Provide information for CPA for quarterly income tax payments for partners

· Accounts Receivable (Bill4Time): running client invoices on a monthly basis; finalizing bills after approval; processing and allocating payments; dealing with retainer payments and client credits as necessary; tracking and aiding collection on past due balances

· Tracking and aiding collection on past due client balances

· Reconciliation of credit card and employee expenses

· Monthly financial statements and/or cash flow forecasts

· Annual (or as needed) profit and loss and balance sheets

· Provide information for CPA for fiscal year end taxes ending December 31

· Prepare and submit 1099s and w-2s annually

Office Manager Main Duties:

· Coordinate hiring process; conduct new hire on boarding; accurately complete all paperwork;

· Maintain employee records

· Assist with off boarding employees

· Prepare policies and procedures, training materials, and company handbook

· Scheduling and gathering information regarding employee reviews and bonuses

· First line of contact on employee personnel questions/concerns;

· Manage PTO calendars to ensure adequate coverage at all levels

· Manage vendor contracts and make recommendations regarding renegotiating contracts for: legal research, billing, IT, various insurance providers (workers compensation, health, malpractice, building), cleaning and maintenance

· Manage registrations licensing and reporting requirements for attorneys

· Overseeing office buildings including: leases (payments, renewals), maintenance, repairs and upgrades

· Make recommendations regarding equipment purchases and upgrades

· Make recommendations regarding budgeting and efficiency improvements

· Interface with banks regarding accounts; lines of credit; financial agreement renewals; mortgages, etc.

Minimum Qualifications & Skills

  • An accounting degree or relevant experience is necessary (i.e., 2-5+ years bookkeeping, accounting & payroll experience)
  • 2-5+ years of experience as Office Manager or related experience (i.e., project manager, human resources)
  • Thorough understanding of bookkeeping & accounting entries and principles
  • Proficiency in QuickBooks (within the past 3 years), Word, Excel and Outlook and Adobe
  • High attention to detail
  • Strong organizational skills and project management abilities
  • Attention to detail, as well as solid problem-resolution, decision-making, and tenacious with follow up
  • Excellent verbal and written communication skills
  • Ability to exercise judgment in managing confidential or sensitive information
  • Experience in supervising others
  • Ability to handle diverse personalities
  • Consistently handle situations with tact, maturity and patience, and able to work well under pressure

Preferred Qualifications

  • Law firm experience and working with client trust accounts or equivalent experience
  • Understanding of Financial Statements
  • Degree in Business, Management, or related field
  • HR experience
