Title: Law Firm Office Manager

Reports to: Principal Attorney

Location: Marina del Rey, CA (Partially remote, partially in-person)

Who You’ll Work With:

You will report to Kelsey Schulz (principal attorney) and will work closely with all the attorneys and staff at Schulz Entertainment Law PC.

What You’ll Do:

In this role, you will assist with all law firm operations and render administrative and executive assistant duties for attorneys working as counsel primarily to media companies but also to independent filmmakers and producers; brands; authors and publishers; and artists, influencers, and musicians.

Your role may require you to perform the following, among other, tasks:

  • Managing the monthly billing process, including reviewing attorney billing, preparing invoices for attorney sign off, submitting invoices to clients, and performing all collections responsibilities
  • Managing and organizing two attorneys’ email correspondence, including reviewing and responding to email correspondence that do not require an attorney response
  • Scheduling and maintaining principal attorney and law firm calendars
  • Creating and maintaining meeting agendas and notetaking in attorney meetings
  • Performing administrative functions to prepare incoming agreements and drafts for attorney review (including filing and saving documents, performing OCR to convert documents, running Microsoft track changes compares against prior drafts, etc.)
  • Tracking agreements through rounds of negotiations, confirming signature copies, and facilitating signatureScheduling and sending follow up correspondence on outstanding matters
  • Proofreading attorneys’ workLearning principal attorney’s systems, style, and workload to assist in prioritizing and planning to-do lists
  • Creating and maintaining law firm systems and processes as well as organizational charts and other trackers
  • Conducting administrative errands and some runner duties in Los Angeles area
  • Performing personal assistant duties for principal attorney
  • Coordinating travel and creating travel itineraries
  • Assisting with various HR functions such as maintaining job posts, receiving and screening applications, conducting screening interviews, and facilitating new personnel onboarding
  • Planning and coordinating team events (including scheduling offsites and social events, booking vendors, tracking budgets, planning activities and agendas, etc.)
  • Managing vendors including through the researching and engaging of vendors, vendor onboarding, the administration of vendor services, and vendor billing
  • Other operational and administrative duties as assigned

What You Have:

  • 3-8 years of experience in an assistant, administrator, or office manager capacity at an entertainment law firm, talent agency, talent management firm, network, studio, distribution company, or production company
  • An understanding of legal document management and workflow for film and television agreements
  • Extremely technology and computer proficient - Microsoft Office (proficiency required), Google Suite (proficiency strongly preferred), Clio (proficiency strongly preferred), Gusto (proficiency a bonus), Xero (proficiency a bonus)
  • Bachelor’s degree preferred
  • Paralegal certificate would be a bonus

Salary Range and Employee Support:

  • $70,000-75,000 (dependent upon level of experience). Salary may be adjusted from time to time, including through increases, in the Company’s sole discretion. This is an exempt position.
  • $15,000 work-life benefit applicable toward various permitted, life expenses such as elder and childcare, education expenses and loan payback, fertility treatment, and other healthcare expenses above and beyond standard insurance coverage (more details available upon request)
