Job Description

Our services include sophisticated counsel to businesses and individuals in the areas of entertainment, media and the arts, corporate, real estate, and litigation, from a team of over 40 lawyers committed to providing clients with dedicated and efficient services of the highest quality. Our clients range from start-up ventures to household-name media and entertainment companies, investment firms, brands and influencers, REITs, banks, and high-net-worth individuals and family offices.

Candidate must demonstrate competency and ability to support four or more attorneys in the Entertainment and Corporate practice areas. Good interpersonal/client interaction skills, electronic calendaring skills, excellent organizational skills, proactive, resourceful and the ability to multi-task and prioritize are a must. Qualified candidates will have excellent software and administrative skills including high level proficiency in MS Word and Outlook and the ability to deliver accurate work product that adheres to Firm standards, and an excellent understanding of formatting and document conversion. Additionally, excellent spelling and proofreading skills are required.

Job Responsibilities

  • Prior experience with a large to medium size law firm;
  • Experience with electronic filing in iManage/FileSite;
  • Answering and rolling calls, scheduling internal and external appointments and meetings, maintaining attorneys’ schedules and calendars, handling e-mail distributions/incoming and outgoing mail, updating contact information;
  • Coordinate client/matter preparations; draft and review letters and documents;
  • Review and assist with processing all new clients/matters firm-wide for final submission to the reviewing partners;
  • Distribute, files, and organizes internal and external agreements and correspondence;
  • Assist with overflow/special projects; contribute to the office and firm-wide team objectives;
  • Prepare expense reports and coordinate monthly billing process between the Accounting Department and assigned partner for pre-edits, and final bill processing; and
  • Schedule couriers, and other special functions internally and externally.

Requirements / Qualifications

  • Demonstrate strong organizational, administrative, interpersonal, written and oral communication skills;

  • Be flexible, highly organized, and comfortable working independently while adapting quickly to changing priorities and remain calm in deadline-driven and high-pressure situations;

  • Maintain high productivity with minimal instruction and supervision;

  • Effectively communicate with a diverse audience including attorneys, clients, staff and vendors;

  • Possess strong interpersonal and customer service skills and use sound judgment;

  • Identify/analyze problems and challenges and to recommend/implement solutions;

  • Maintain and nurture a positive attitude and workplace environment; and

  • Have a strong sense of urgency and commitment to meeting internal and external expectations.
